Terms of use and privacy

General provisions

This page sets out the terms on which we grant the right to use the CoremainTech program (the “Program”) and explains how we handle your data. By paying for a license or activating a trial key, you agree to these terms.

These terms constitute a public contract (offer) under Articles 633, 641 and 642 of the Civil Code of Ukraine and a license agreement within the meaning of Articles 1108–1109 of the Civil Code. The contract is concluded electronically under the Law of Ukraine “On Electronic Commerce”.

License agreement

We grant you a non-exclusive license to use the Program for the term of the chosen plan: 3 months, 6 months or 1 year. The license is valid in Ukraine and other countries unless this contradicts their laws.

What you may do

• install and use the Program on one computer whose PC code the key is bound to;
• create, print and store any number of documents for your organization’s needs;
• back up the database and move data to another computer;
• show the Program and the video tutorial to your organization’s employees.

What is prohibited

• transfer, sell, rent out or publish the activation key, installer or video tutorial to third parties;
• use one key on several computers at the same time;
• decompile or modify the Program or circumvent license protection, except where expressly permitted by law;
• use the Program in violation of the law.

The license end date is built into the activation key; the term includes the last day until 23:59:59. After the term ends, your data stays on your computer, and a new key is needed to continue working.

A trial key for 24 hours or 3 days is provided free of charge so you can test the Program before buying. Data created during the trial stays after you activate a full license.

The AI assistant is a separate part of the license and may be provided for the full term or until a set date. The number of requests per day is limited.

Payment and key delivery

1. You send a request via the form on the website, by phone or by e-mail and provide your PC code.
2. We send payment details or an invoice. Prices are in hryvnias on the Pricing page and apply as of the invoice date.
3. Payment constitutes acceptance of this offer, i.e. full agreement to its terms.
4. Once payment is received, we send the activation key and the video tutorial to your e-mail or messenger, usually within minutes during business hours and no later than the next business day.

The license is deemed granted when the activation key is sent. Price changes do not affect licenses already paid for.

Refunds

• If the key has not been activated yet, you can cancel the purchase within 14 days of payment and we will refund the full amount.
• Once the key is activated, the license is considered used and no refund is given. That is why we recommend getting a free trial key before buying.
• If the Program does not work through our fault and we cannot fix it within 14 days of your request, we will refund the unused part of the term.
• Refunds are made by the same method as the payment, within 14 calendar days after the refund is agreed.

For companies and public institutions

We work with companies, institutions and sole proprietors. For your accounting department we provide:

• an invoice with payment details and payment purpose;
• a contract for the right to use the Program, if your organization works under contracts;
• an acceptance certificate for the right of use after the key is sent;
• documents with a qualified electronic signature or on paper.

For procurement you can use CPV code (DK 021:2015) 48000000-8 “Software package and information systems” or the more specific 48440000-4 “Financial analysis and accounting software package”. The final code is chosen by the buyer.

The license price is well below the thresholds for simplified procurement, so a direct contract is usually enough. Whether a contract report must be published in Prozorro is decided by your authorized procurement officer under Ukrainian public procurement law.

One license covers one computer. For several workstations we issue several keys on one invoice. VAT status and tax details are stated in the invoice and contract.

Your organization’s data is stored only on your computer and we have no access to it. That is why a separate data processing agreement with us is usually not required.

Privacy policy

We collect the minimum of data and only to issue your license and help you.

What data we receive

• from the request: name, organization, phone, e-mail, chosen plan and comment;
• the PC code, a technical identifier the Program creates to bind the key; it contains no personal data and none of your database content;
• payment data from the bank statement: payer, amount and date;
• correspondence with support.

What it's for

To issue and reissue keys, prepare accounting documents, answer your requests and comply with tax and accounting laws. We do not sell data, share it for advertising or send newsletters without your consent.

Data in the Program

The Program’s database (assets, commission, signatories, documents) is stored only on your computer in encrypted form. We have no access to it, and no internet connection is needed to work with documents or check the license.

If you enable the AI assistant, the Program sends the AI service provider only your request and a short summary from the registers over a secure connection. The company name, commission members, signatory and license key are never sent.

Retention

We keep request data and correspondence for the license term plus 3 years after it ends, and payment and accounting documents for the periods required by law.

Your rights

Under the Law of Ukraine “On Personal Data Protection”, you can find out what data we hold about you, request its correction or deletion, withdraw consent and file a complaint with the Ukrainian Parliament Commissioner for Human Rights.

For users in the EU we also comply with the General Data Protection Regulation (GDPR). Processing is based on performance of the contract and legal obligations, and you can lodge a complaint with your country’s supervisory authority; in Poland, the President of UODO.

Website and cookies

The website does not use cookies, advertising trackers or third-party analytics. Fonts, videos and images are loaded from our own server.

Only your site preferences are stored in the browser (localStorage): the colour theme and video volume. You can delete them by clearing site data in your browser.

The request form does not send data to a server: it opens your e-mail app with a ready message or copies the text. We receive the data only when you send the e-mail or message yourself.

To protect against attacks, the hosting provider and content delivery network may automatically process technical request data: IP address, time, page address and browser type. This data is used only for security and stable operation of the website.

Warranties and liability

• The Program is provided “as is”. We support it on Windows 10 and 11 (64-bit) and help with setup, but do not guarantee operation on modified or incompatible systems.
• You are responsible for the content of documents, checking AI assistant output before signing and making regular backups.
• We are not liable for data loss caused by computer failure, viruses, deleted files or missing backups, or for indirect damages and lost profits.
• Our total liability is limited to the amount paid for the relevant license.
• The parties are released from liability in cases of force majeure, including hostilities and prolonged power or communication outages.

Intellectual property

The Program, its interface, templates, video tutorial, the CoremainTech name and logo are protected by copyright law. The license does not transfer any property rights in the Program to you: you only get the right to use it on these terms.

Documents you create in the Program and your organization’s data belong to you. If you give us your own templates for setup, we use them only for your version and do not share them with other customers.

Disputes and changes to the terms

These terms are governed by the laws of Ukraine. We first try to resolve disputes through negotiation; if no agreement is reached, in court with jurisdiction established by law.

We may update these terms. A new version applies from the day it is published on the website and does not worsen the terms of licenses already paid for until they expire.

We do not enter into contracts with persons subject to sanctions under Ukrainian law or with residents of the aggressor state.
